Summary

Our client from the chocolate industry wanted to organize the first ever regional conference which was also going to be a platform for the presentation of Global Recognition Awards for top performers in the region. The conference was to be a no holds barred top end celebration where varieties of teams from diverse nationalities came together and they were all meant to go back completely charged up to deliver their best to the future growth of the company.

Objectives

The KEY OBJECTIVES for the conference that was being conducted in the region for the first time was :

  • Top performing sales managers attending the event must go back completely MOTIVATED
  • Event should be perceived to be WOW and luxurious
  • GLOBALRECOGNITION for MARS top performers via induction into in an Elite & Exclusive Club.

Critical Factors

Client requirements for this project were very specific and were quality driven with an extremely short duration of time available for planning and implementation. Further, the project owner was based overseas and we were working in different times zones. Also, an escalation process to the project committee was required for most decisions. Additional jeopardy was added to the mix by way of the regular business travel requirements of the project owner.

The scope of work involved, ensuring that requirements specific to the group were met. This included, accommodating all delegates in a single hotel which was luxurious yet centrally located, had conference facilities to match the business needs and varied meeting requirements and at the same time was also very competitively priced.

Solution

brains at work worked round the clock to meet the challenge and found the perfect solution in a 5 star luxury hotel sourced to accommodate all 100+ delegates at the event venue in single rooms. The hotel was a short driving distance from the airport and catered to the multiple meeting requirements for the conference.

Unique and creative décor was used with strategically located branding material throughout the conference to communicate the key message and theme of the conference and the MARS brand.

Opportunities to surprise and delight delegates was creatively used to communicate right from their registration and welcome at the door to the end of the conference. Customized giveaways were craftily conceptualized, planned, purchased and handed out, adding to the air of anticipation.

brains at work seamlessly executed a spectacularly themed award’s function which was done for the first time at The Music Hall, a very exciting new venue. The Music Hall Dubai is very famous for its repertoire of exceptional international acts.

An exclusive black tie event for the global recognition award was also arranged with extremely fine touches of elegance that matched the theme and concept.

Result

The results for the client were stunning.

The conference was declared the “best ever”. Critical factors were dealt with by the brains at work team in an exemplary manner including securing of luxurious venues within a very short frame of time, meeting requirements of exclusivity of meeting venue, along with the excitement of the destination, venues and personalized service that made the delegates feel appreciated, rewarded and inspired leading to an exceptional event.
